How to Create Email Templates
Learn how to create email templates from scratch or choose from a template library.
What it does: Users can create email templates that best suit their day-to-day needs, or can browse through Roofr’s popular default templates.
Purpose: Default templates strengthens our position as an out-of-the-box solution, allowing users to start testing immediately and reducing our time to value. Custom templates promotes customizability for our more sophisticated customers, which improves our CRM stickiness.
Available On: Pro, Premium, and Elite.
Choose an existing email template
Step 1: On the main left navigation bar, choose Email & SMS
⚠️ Note that SMS is only available on closed beta. Please reach out to your account manager for access.
Step 2: Choose “Browse Templates”
Step 3: Browse through our various templates until you find a template that suits your business needs.
Note: You can edit default template values too — once you create a template, you’ll have the option to edit the subject line, email body, button, and dynamic fields before saving.
Call to Action Buttons
Templates do not automatically include a Call to Action (CTA) button, but you can (and we would recommend that you do) add a CTA button in the email body by choosing “Include a button”.
- You may add a custom label, and
- Choose where the button will direct customers. Options include a phone number, email address, or custom URL.
Step 4: Hit save!
Create an email template from scratch
Step 1: From the Email & SMS tab, choose “Custom Template”
Step 2: Name your template and select a category; either General, New Leads, Proposals.
Step 3: You’ll be presented with a blank slate to create your own email template, including the subject line, the body message, and the dynamic fields, which include:
- Customer Full Name
- Job Address
- Job Assignee, and
- Job Assignee Email
Step 3: Choose whether you’d like the email to be either Marketing or Plain Text.
- Marketing emails are more stylized for a branded experience. These are great for Lead Introduction emails, or for sending proposals.
- Plain Text emails are simpler, and more closely resemble regular emails. Use these for quick replies, transactional emails, or reminders.
Step 4: Add a CTA button to direct homeowners to a phone number, email address, or custom URL.
Step 5: Hit ‘Preview’ to review your email before saving.
Step 6: Hit ‘Save’ and you’re done!
Accessing your email templates
In the Email & SMS page, all your templates are categorized by category;
- General
- New Leads
- Proposals
The email category option lets you organize your templates by function, and dictates how an email template can be used.
- For example, Proposal templates must link to a customer’s Proposal. This is why we’ll see some fields disabled.
